HUMAN RESOURCES ASSISTANT

 

THE OPPORTUNITY

Reporting to the Manager of Human Resources, the HR Assistant is responsible for assisting in all areas of Human Resources to ACT Learning Centre and its sister companies.

Duties and Responsibilities include but are not limited to:

Recruitment and Selection

  • Aids in the coordination of the recruitment cycle including job post creation and advertising, coordinates and schedules interviews, conducts reference checks, and drafts letters of offer and employment contracts.
  • Works closely with the hiring Managers to ensure hiring needs are met and that selection occurs in a fair and equitable manner.
  • Organizes and attends job fairs when needed.
  • Ensures that new employees and independent contractors comply with hiring requirements necessary to commence work.

Ensures that all new hires engage in a fulsome onboarding and orientation process upon commencement of employment.

Administrative support

  • Maintains and safeguards confidential information.
  • Assists in the primary oversight of HRIS (BrightHR)
  • Ensures employee files and HRIS systems are kept up to date.
  • Assists in the development and implementation of forms and HR documents to ensure alignment with cultural values and legislative requirements.
  • Conducts research for and participates in the development and revision of the HR policies, programs, and resources
  • In coordination with Management, ensures that all training and development is delivered in a timely manner.
  • Provides education and guidance to all employees on latest updates and uses of HRIS system.
  • Creates reports needed to assist management in human resource issues.
  • Ensures all relevant memberships, licences, and certifications are current.
    Health and safety
  • Acts as a back-up to the HR Manager on the Joint Health & Safety Committee.
  • Assists in the development and delivery of OHS training and takes an active role in maintaining a safe and healthy work environment.
  • Assists in the development and implementation of Health, Safety and Wellness initiatives aimed at increasing individual employee wellness, the wellness of the organization, contributing to the larger community.

SKILLS AND ABILITIES

  • Proficient in Microsoft Office Suite and computer software
  • Ability to utilize social media for recruitment and to enhance the employer brand.
  • Effective priority setting and decision-making skills and the ability to meet deadlines and accommodate competing demands.
  • Attention to detail and solution focused.
  • Exceptional communication skills both oral and written.
  • Ability to work independently and as a team member to achieve outcomes and deadlines.
  • Maintains professional ethics and discretion; protects sensitive and personal information.

QUALIFICATIONS

  • Post-secondary diploma or degree in human resources or related field or a combination of experience, training, and education in a relevant field.
  • Knowledge of the Ontario Employment Standards Act and Ontario Human Rights Code and all other relevant legislation.
  • Minimum of one year experience in, but not limited to, coordinating, or assisting in human resources.
  • A valid driver’s license and access to a reliable vehicle
  • A successful Vulnerable Sector Screen.
  • Bilingualism an asset.
